Privacy Notice

This notice is to help you understand how and why Whiteknights Primary School collects your personal information and what we do with that information. It also explains the decisions that you can make about providing that information.

The categories of information that we collect, hold and share include:

• Personal information (such as name, address and contact details);
• Characteristics (such as ethnicity, language, nationality);
• Relevant medical information;
• Information relevant to your application for support from the Whiteknights English Hub.

Why we collect and use this information

We use the data:

• to support learning;
• to provide appropriate training;
• to keep you safe and healthy;
• to assess the quality of our services;
• to comply with the law regarding data sharing.

The lawful basis on which we use this information

 We comply with Article 6(1)(c) and Article 9(2)(b) of the General Data Protection Regulation (GDPR)/Data Protection Act 2018.

Storing your data

We hold your data on local and cloud-based computer systems, as well as on paper. There are strict controls on who can see your information.

Your records will be kept for 5 years after the completion of your support from the English Hub, after which they will be securely destroyed.

We share your information with:

• our Local Authority;
• the Department for Education (DfE);
• services that support teaching, learning, assessment, health & safety, safeguarding and school management;

We only share your information with others where the law and our policies allow us to, or where we have obtained any necessary consent. We will not share your data if you have advised us that you do not want it shared, unless it is the only way we can make sure you stay safe, or we are legally required to do so.

Requesting access to your personal data

Under data protection legislation, you have the right to request access to information that we hold about you. To make a request for your personal information, please contact the school using the details at the end of this document.

You also have the right to:

• object to processing of personal data that is likely to cause, or is causing, damage or distress;
• prevent processing for the purpose of direct marketing;
• object to decisions being taken by automated means;
• in certain circumstances, have inaccurate personal data rectified, blocked, erased or destroyed;
• and claim compensation for damages caused by a breach of the Data Protection regulations.
